Programme Management Office (PMO)

A highly effective PMO is key to making large scale and often complex Transformation Programmes successful. With multiple moving parts to manage including people, vendors, supplier deliverables, budgets, designs, plans, artefacts, products, risks and issues – it is critical to establish and maintain complete clarity, focus and control.

Many programmes run into great difficulty simply by not being clear about what needs to be done, who is going to do it and when it needs to be done by. Many struggle to clarify and keep a firm grip on these three basic elements, and as a result fail to establish any meaningful governance and control to ensure they are achieved. This can adversely impacts scope, cost or schedule and, on occasion, can lead to the failure of the programme to deliver its intended outcomes.

Servita provides highly effective Programme Management Office (PMO) services that empowers programme and executive leadership to easily and accurately monitor, control and enable delivery throughout all phases of a programmes lifecycle. Our PMOs turn multiple data-points into meaningful real-time information, along with insights and guidance from our experienced delivery resources to identify and mitigate risks and resolve programme issues. The PMO is a way of safeguarding the delivery of the programme and ensuring it delivers its intended outcomes on time, to cost and quality expectations.

Adaptable PMO Approach

As with everything we do, our services are fine tuned to meet our clients’ specific needs. We can provide everything from a full scale PMO staffed with our experienced onsite resources, to our virtual PMO leveraging our on and offsite model, to allow for scalability and agility across the programme lifecycle.

Our PMOs provide multi-disciplined and experienced resources, organisational flexibility and modern tooling that drives standardisation to promote consistency, understanding and effectiveness and the ability to offer independent views of status to provide valuable insight.

We truly believe that the establishment of effective governance mechanisms, such as Steering Committees and Project Boards, early in the delivery lifecycle ensure a disciplined and standardised governance approach to the execution of the many tasks required to be undertaken across multi-vendor implementations. This type of active governance can manage the inevitable programme pressure points that emerge on large scale, complex transformation delivery so we establish and operate them from day one.

Key PMO Disciplines

Our PMO provides value-added support and guidance from the outset, initiating and operating essential processes and tools whilst ensuring critical disciplines are in place to support well-controlled delivery execution. At the core of these disciplines are:

Planning: effective project and programme planning provides direction and insight on the path to achieving delivery goals and successful business outcomes.
Risk Management: from the outset proactive management determines mitigation strategies and solutions for the key project and programme risks, minimising variances in project schedule, budget and quality, whilst reducing risk exposure and eliminating threats to project and programme success.
Issue Management: effective issue management dictates that the issues that really matter for our clients are identified early to eliminate threats to success. We understand that considering the escalation path and the influence of issue ownership is a means to achieving effective issue management.
Change Control Management: is important in recognising and managing proposed changes to the scope of work and structures and directs management actions towards reaching an informed and timely decision on requests for change. Our approach seamlessly integrates with Change Management through our Commercial Management capability, protecting delivery through carefully managed scope control whilst commercial aspects are managed efficiently and effectively.
Vendor Management: we work to build productive working relationships with vendors to integrate them into the complex delivery environment that often prevails on multifaceted transformation programmes. By doing this we can carefully manage vendors to elicit maximum value in support of achieving controlled delivery of the overall programme which we do in tandem with our approach to Vendor Management through our Commercial Management capability.
Performance Management: we deploy solid mechanisms that provide informed reporting to assist in project and programme governance whilst facilitating Executive decision making to influence the outcomes of projects and programmes. The Performance Management discipline can be tailored around the financial performance of delivery, schedule-based performance or a combination of both.

Our approach to project and programme management is built upon the universally recognised Project Management Institute (PMI) Guide to the Project Management Body of Knowledge (PMBOK® Guide), an industry standard for knowledge and certification, and other best practice methodologies such as PRINCE2®. Our specialist resources use their skills and experience in pursuit of the primary objective for our clients which is to achieve predictable, sustainable and high quality outcomes.

"The PMO is the heart of any effective programme. Done well it can act as a ‘control tower’ to ensure manage complex dependencies, coordinate and resolve issues, risks and resources and also as a ‘weather station’ reporting on projects conditions and forecasting future performance. Our team brings years of experience and the requisite skills to ensure PMOs are fully leveraged to safeguard a programme’s on time delivery to the highest quality standard and with budget parameters."
